Accommodation

Please check your package to see what accommodation you have included.

Accommodation is booked automatically using your staff names provided on the badge form. If these should be different for any reason please get in touch with Bree Pace.

If you need extra nights either side of the conference, we recommend booking a standard room direct with the hotel (we are unable to honour upgrades) and letting Bree know the booking reference.  The hotel will try and match up bookings, if possible, so that you will not have to move rooms during your stay but please be aware we are unable to guarantee this.  Please do not try and contact the hotel directly about matching up bookings as our event block booking is not allocated until just before the event.  Additional staff passes, including accommodation can be added via the badge form, simply tick the "I would like to pay for additional passes" box and we'll send you the order form. 

Car Parking

Parking at the venue is not included in any of the Sponsorship or Delegate Packages, however we can offer a discounted rate of £11 per car/day.

Once you have opened the link, select the first option: ‘Start’ for a quick and easy exit after the Conference. The code you’ll be asked to enter is PDCHQ.

Alternatively, you can pay for your parking at the venue via a machine next to the concierge desk in the main Reception.

Catering

Complimentary daytime catering will be available throughout the CILIP Conference and will be served in the exhibition area.  

Please note the Presidential Dinner is ticketed.  Please check your contract to see if this is included in the package you have booked.  You can purchase additional tickets to your package by emailing Bree Pace.

Deliveries/Collection

Before organising for items to be delivered to the CILIP Conference please take 5 minutes to read the information below:

Please let us know if you plan to get anything delivered to the venue as we will need to send over a bespoke delivery note. The venue will refuse any items that do not include this delivery note. Download delivery note here.  Any questions ask Bree Pace.

Handy tips for getting deliveries to the venue
  • Ensure you label all of your deliveries, please use this delivery note and mark boxes "CILIP Conference".
  • Include your company name on each box (not just the delivery company).
  • DO NOT ship boxes to arrive before Tuesday 1st July, as the venue will not accept them. Please note that large deliveries on pallets may not be accepted, ensure your courier is aware that any pallets will need to be unloaded.
  • IMPORTANT: If your boxes need to arrive before Tuesday 1st July special arrangements must be made.  Call +44 (0)1892 820 944 or email Bree Pace and we will try our best to organise this.
  • We are expecting a total of around 250 attendees so if you are sending literature we suggest a maximum of 200 copies should be sent. 

Collections

All shell scheme exhibits must be collected by 17:30 on Thursday 3rd July. Anything left after this time must be correctly labelled for collection and venue staff must be made aware so it can be taken to the loading bay. This is the responsibility of your stand team. Please make Bree Pace aware, in advance, of anything that is being collected from the loading bay.


Insurance

It is recommended that all Exhibitors take out insurance to cover themselves against loss of property and/or damage to their stand, etc as well as having the compulsory public liability insurance.

Internet Access

Complimentary internet access, suitable for web browsing, will be provided for all attending the CILIP Conference.

Access details along with a username and password (if required) will be provided closer to the event date.

 Security

Whilst every reasonable precaution is taken to ensure the safety and security of personnel and equipment, the Organisers cannot accept any responsibility whatsoever for any loss or damage or any consequential losses which may befall your personnel or property.

We would strongly recommend that valuables, particularly those of a portable nature such as Laptops, DVD Players etc, are not left unattended on your stand or in the conference room at any time but especially during the breakdown period.  If you think you may need storage for a particular period of time please contact the Organisers Office on site and we will try our best to accommodate your needs.

A primary objective of ours is to deny access to the professional thief.  In order to do this we operate a no badge, no entry rule. This rule applies not only to delegates but to sponsors, speakers, staff and contractors as well.

If there is an incident on your stand resulting in loss of property, please make sure you report it to Revolution Events whilst onsite, unfortunately failure to do so could result in your insurance claim being made void.

Sponsor Badges

As mentioned previously the CILIP Conference operates a no badge, no entry rule.  This applies to all attendees to the event including delegates, speakers, staff and all sponsors.

To order your badges please complete and return the Sponsor Badges form to Bree Pace no later than Friday 6th June.  Your badges will be on your stand on arrival.

Please note that cameras (Video and Photography) may be present at the event as per past years. Attendees not wishing to be filmed can make themselves known to the camera team so that they can be avoided
