Car Parking

There is parking onsite at the Hilton Birmingham Metropole. Please see below for more information on parking at the venue. 

Residents:
Overnight Parking (1pm on day of arrival to 1pm on day of departure): £12
Early Arrival: £5 Supplement
Late Departure (until 4pm): £5 Supplement
Late Departure (until midnight): £10 Supplement

Non Residents:
0-15 minutes: FREE
15 Minutes - 3 Hours - £10.00
3-8 Hours - £15.00

Catering

Complimentary daytime catering will be available throughout the IRMS Conference and will be served in the exhibition area.

Please note that evening events are ticketed. Please check your contract to see if these elements are included in the package you have booked and contact Deborah if you wish to discuss additional places.

Deliveries

Before organising for items to be delivered to the IRMS Conference please take 5 minutes to read the information below:

  •  Mark boxes: Use the delivery note* and mark boxes "IRMS Conference.”
  •  Mark the name of organisation on each box (not just the delivery company).
  •  DO NOT ship boxes to arrive before Monday 24th May, as the venue will not accept them.
  •  IMPORTANT: If your boxes need to arrive before Monday 24th May special arrangements must be made.  Call +44 (0)1892 820 944 or email eli@revolution-events.com to organise this.
  •  We are expecting a total of around 300 attendees so if you are sending literature we suggest a maximum of 300 copies should be sent.

The delivery note should be clearly displayed on all items sent to The Hilton, Birmingham Metropole. 

Storage in the exhibition area is limited.  Where possible please ask your courier to remove any boxes that are not required.  Please see Elizabeth Tomkinson if you require storage once at the venue.

International Deliveries

It is essential that any items sent to the UK from overseas are clearly marked.  It is of paramount importance that description forms are completed fully for customs.  Please ensure that you allow plenty of time for your international items to arrive.  Items can be held in customs for up to 7 days.  If you do not have a UK address that items can be shipped to in advance please contact Eli Tomkinson to discuss your requirements.  

Insurance

It is recommended that all Exhibitors take out insurance to cover themselves against loss of property and/or damage to their stand, etc as well as having the compulsory public liability insurance.

Internet Access

Complimentary internet access, suitable for web browsing, will be provided for all attending the IRMS Conference.

Access details along with a username and password (if required) will be provided closer to the event date.

Scanner Hire

All delegates at the IRMS Conference will be wearing a badge complete with a barcode, which contains their full contact information.  To help maximise your participation at the event we recommend the hiring of a scanner, which will enable you to capture these details.

To order a scanner please complete and return the scanner order form to Emma Turley no later than Friday 23rd April

Security

Whilst every reasonable precaution is taken to ensure the safety and security of personnel and equipment, the Organisers cannot accept any responsibility whatsoever for any loss or damage or any consequential losses which may befall your personnel or property.

We would strongly recommend that valuables, particularly those of a portable nature such as Laptops, DVD Players etc, are not left unattended on your stand or in the conference room at any time but especially during the breakdown period.  If you think you may need storage for a particular period of time please contact the Organisers on site and we will try our best to accommodate your needs.

A primary objective of ours is to deny access to the professional thief. In order to do this we operate a no badge, no entry rule. This rule applies not only to delegates but to sponsors, speakers and staff as well.

If there is an incident on your stand resulting in loss of property, please make sure you report it to the Organisers on site, unfortunately failure to do so could result in your insurance claim being made void.

Sponsor Badges

As mentioned previously the IRMS Conference operates a no badge, no entry rule.  This applies to all attendees to the event including delegates, speakers, staff and all sponsors.

To order your badges please complete and return the Sponsor Badges form to Eli Tomkinson no later than Friday 23rd April  Your badges will be on your stand on arrival.

Please note that cameras (Video and Photography) may be present at the event as per past years. Attendees not wishing to be filmed can make themselves known to the camera team so that they can be avoided.

Additional daytime places and social tickets may be available at the discression of the organiser. Please get in touch with a member of the team to be added to the wait list if spaces should become available.
